Smart Receipt Scanner
AI-Powered The Smart Receipt Scanner uses Google’s Gemini AI to extract line items from receipts and create journal entries automatically.
What It Does
Section titled “What It Does”Upload a photo or PDF of any receipt, and the AI will:
- Extract line items — vendor name, date, amounts, and individual items
- Map to your Chart of Accounts — using your organization’s GL codes
- Create a balanced journal entry — debits and credits, ready for review
- Pre-fill the entry form — you review, adjust if needed, and post
Where to Find It
Section titled “Where to Find It”You can scan a receipt from two places:
- Dashboard — Click the Scan Receipt button in the top bar
- Journal Entries — Click the Scan Receipt button next to “New Entry”
Both launch the same scanning flow.
How It Works
Section titled “How It Works”The receipt scanner uses a multi-model AI system with automatic failover:
- Your receipt is compressed client-side (images only) to save storage
- The image is sent to Google Gemini for analysis
- Gemini receives your organization’s Chart of Accounts to map items accurately
- The AI validates its own output (balanced debits/credits, valid GL codes)
- If validation fails, the AI self-corrects and tries again
- Results are presented for your review before posting
After Posting
Section titled “After Posting”Once you post a receipt-scanned entry:
- The receipt image is stored securely with your journal entry
- A 📎 icon appears next to the entry in your journal entries list
- Click the entry to view the attached receipt image or PDF
- Full audit trail is maintained, just like any other journal entry
