Chart of Accounts Overview

The Chart of Accounts (COA) is the foundation of your accounting system. It’s a complete list of all accounts used to record transactions in your organization.

A Chart of Accounts organizes your financial data into categories:

Click Chart of Accounts in the sidebar to see all accounts in your organization.

The list shows:

  • GL Code - The account’s unique identifier
  • Account Name - Descriptive name
  • Type - Asset, Liability, Equity, Revenue, or Expense
  • Balance - Current account balance

Each account has:

FieldDescription
GL CodeUnique 4-digit numeric code (e.g., 1000). Must fall within the correct range for the account type.
NameHuman-readable name (e.g., “Cash in Bank”)
TypeAsset, Liability, Equity, Revenue, or Expense. Locked once journal entries are posted.
DescriptionOptional notes about the account
StatusActive (normal use), Inactive (temporarily disabled), or Deleted (soft-removed)
System AccountProtected accounts (e.g., Retained Earnings) that cannot be edited or deleted
